Personal Assistant
Location – Chertsey
Salary – £146-£175 per day
Duration – Ongoing contract

Summary of a Personal Assistant
You will provide day-to-day support and diary management to the VP and COE.

Responsibilities of a Personal Assistant
• Managing a complex diaries including working across time zones, (between European subsidiaries, Korea and the US mostly) and across multiple systems
• Organising meetings and dealing with last minute changes with diplomacy and tact
• Proactively checking diaries are accurate at all times
• Booking meeting rooms and keeping track of the monthly window
• Ordering additional equipment for meetings as and when necessary
• Organising video and telephone conferences across multiple time zones, using appropriate dial ins and calculating appropriate times across all countries
• Proactively attending to external guests (e.g. checking with reception they have arrived to make sure meetings start on time, welcoming them to the office, offering drinks, parking requests)
• Updating holiday charts for both CMI and Digital
• Organising travel (flights, accommodation, taxis, trains, security passes, logistics)
• Processing expenses
• Raising approvals (team recognition vouchers, travel, gifts, IT requests, etc.) and proactively following-up to ensure appropriate completion
• Ordering IT equipment and setting-up new starters
• Ensuring both are fully compliant with our Legal & Compliance policies (i.e. gifts, expenses, etc.) by proactively raising issues with them as needed

Key competencies of a Personal Assistant
• Have extensive experience supporting at executive level
• Be flexible and experience with different management styles
• Have excellent IT skills particularly Word, Excel, and strong PowerPoint skills
• Recording / Sharing Minutes to relevant stakeholders
• Able to multi task and have a high capacity level
• Thrives in a pressured environment
• Dealing with constant change
• Have attention to detail
• Be an excellent communicator, both verbally and in writing
