Location: Weybridge

Salary: £24 – £27,500 PA

Duration: Permanent

Hours: Office based – 9.00am-5.30pm (Occasional 8.00am start or 6.30pm finish)

 

Summary of an Office Manager

To deliver a high quality experience to all clients and colleagues that attend your office. To encourage the delivery of the clients’ culture by creating a positive, supportive and respectful working environment for all fee earners.

 

Key Responsibilities of an Office Manager

  • Overseeing the day to day running of the relevant office in accordance with the clients’ policies and practices which will include:
    • Ensuring a tidy working environment
    • Maintaining appropriate levels of stock of consumables and stationery
    • Working with the IT, Marketing, HR, Finance, Data Management, Compliance and Facilities teams to ensure that the needs of the business are met on an ongoing basis
    • Setting up of onsite events involving the appropriate arrangement of furniture, organisation of appropriate operational support, organising refreshments and catering through the appropriate channels
    • Setting up meeting rooms; making light refreshments; ensuring that ongoing meetings are provided with top-up refreshments
    • Dealing with incoming post (opening, scanning and distributing) and outgoing post (collating, ensuring Royal Mail is sent on time each day as well as organising couriers via the correct channels)
  • Assisting with ongoing document management including archiving, document retrieval and file closures
  • Assisting the Projects team with the opening of new offices / and closing of old offices
  • Travelling to other offices when required to provide Office Management cover
  • Liaising with the central Facilities team to ensure that all business-wide services are carried out appropriately such as collection of confidential waste, archiving etc
  • Providing basic IT support (under the supervision of the IT team)
  • Preparing office seating plans periodically and arranging moves within the office
  • Assisting the Senior Office Services Manager with other administrative type tasks
