To ensure the smooth running of the office environment by coordinating office activities efficiently and managing projects to ensure successful implementation.
•Responsible for all aspects of managing the smooth running of the office whilst being reactive to the needs of the business. This includes but is not limited to, coordinating office cover, office holidays, managing office stationery and supplies.
•Oversee HR issues as necessary, ensure all Office Team have accurate contracts, development plans and job descriptions, track monthly development meetings. Provide HR support to the Team as required.
•Manage daily audit ensuring prompt follow-up where necessary.
•Warmly greet visitors to the office; answer phone calls in a polite, professional manner, as far a possible handling the query and passing on clear messages where appropriate.
•Maintain effective systems ensuring that all filing and databases are kept up to date.
•Support service delivery process ensuring compliance, admin and systems are updated in a timely manner.
•Provide basic local IT support i.e., setting up & removing users from systems and creating email addresses, responsible for maintaining the directory of all IT equipment and users.
•Manage correspondence by responding to emails and handling incoming and outgoing post.
•Ensure compliance with the clients Equality and Diversity Policy, in respect of employment and service delivery.
•GDPR champion, responsible for ensuring GDPR compliance at all times.
•Carry out any other duties deemed necessary for the successful operation of the business.
•To undertake any support or administration duties as and when required. Engage in all Office coffee mornings, meetings and events.
•Monthly provide support for invoicing and payroll, handle all enquiries relating to both. Bank cheques as necessary and ensure all invoices are paid in a timely fashion.
•Good working knowledge of IT Systems with experience of Microsoft Office or Google Suite and virtual communication platforms with the ability to learn and adopt new technologies where appropriate.
•Proven experience in office administration within a busy office environment.
•Experience of managing projects and working to tight deadlines.
•Strong organisational skills with the ability to multitask.
•Self-motivated and able to work flexibly.
•Experienced at taking responsibility for work load.
•Excellent written and verbal communication skills.
•Keen eye for detail and the ability to work accurately under pressure.
•Strong team player with the confidence to work alone.
The role will be office based Monday to Friday 9am to 5pm with Half an hour for lunch.
